Information you choose to send

If you submit the website contact form, ExactWork receives your name, email address, the message you write, and your company name if you choose to provide it. If you contact ExactWork by email, the information in that message is also received voluntarily.

This information is used to respond to your enquiry, discuss potential services, and maintain normal business correspondence. Submitting the form does not automatically subscribe you to marketing communications. Business enquiry forms offer a separate, optional checkbox for marketing emails. It starts unchecked, and you can submit your enquiry without selecting it.

Form delivery and customer records

Business enquiry forms on the homepage and guides send your name, email address, message and optional company name to HubSpot. HubSpot stores the submission and may create or update a contact in ExactWork's account. ExactWork uses these records to respond, discuss services and manage related business correspondence. A submission notification is also sent to ExactWork.

These forms use HubSpot's submission service without loading HubSpot website tracking or sending a HubSpot tracking-cookie identifier. Submitting an enquiry does not require analytics permission. Only an affirmative choice in the optional marketing checkbox asks HubSpot to record your consent to ExactWork marketing emails. Leaving it unchecked does not create a new subscription or withdraw an existing one. HubSpot may process technical information needed to deliver and protect its service. When you opt in, ExactWork records the consent wording, submission context and time through HubSpot. You can unsubscribe from marketing emails at any time using the unsubscribe link in an email or by contacting hello@exactwork.ca. Marketing consent is separate from optional website analytics consent.

The privacy-request form on this page remains separate. It sends your submitted details to ExactWork through Formspree, where they are stored so the request can be delivered and managed. Privacy requests are not sent through the HubSpot business enquiry form.

Formspree may also process technical information needed to operate and protect its service, such as an IP address, browser information, access time, and referring page. See the Formspree privacy policy for details.

Google reCAPTCHA protects the privacy-request form and analyzes technical and interaction signals to help distinguish people from automated submissions. It is not used on the HubSpot business enquiry forms. Google's Privacy Policy and Terms of Service apply to reCAPTCHA.

Technical and hosting information

OpenAI hosts this website through ChatGPT Sites and may process technical information needed to operate, secure and deliver the website. ChatGPT Sites records traffic analytics such as unique visitors and page views, and deployed-site logs form part of the service. See the official ChatGPT Sites documentation.

ExactWork does not currently use this information for advertising, remarketing, or individual visitor profiling.

Analytics, cookies, and advertising

With your permission, ExactWork uses Google Analytics to measure public page visits, service and guide views, contact clicks, and enquiry-form starts, errors and successful submission outcomes. Privacy-form submissions are recorded separately from commercial enquiries.

Google Analytics uses cookies and pseudonymous browser identifiers, rather than anonymous data, and processes technical browser and device information. ExactWork excludes form contents, names, email addresses, URL query strings and full referring URLs from its analytics events. Google may also generate session and engagement measurements. See the Google Privacy Policy.

If you accept analytics, we also use predefined campaign labels from tagged links to understand which published posts bring visitors to the site. Arbitrary URL parameters remain excluded.

After you accept analytics, recognized Google, Bing, DuckDuckGo, ChatGPT, Gemini, Claude, Perplexity, Copilot and Grok referrers may contribute only their HTTPS origin (scheme and exact domain) to Google Analytics for the first measured interaction. Referring paths, query strings and fragments are omitted. Registered campaign labels take precedence. Missing referrers are not inferred, so some search and AI visits cannot be identified.

You can exclude this browser from Google Analytics in Cookie settings. This separate, reversible choice is stored only in this browser; no staff or exclusion marker is sent to Google. Turning exclusion off does not grant analytics permission. Other devices, private windows, or a browser whose stored choices have been cleared need their own selection.

The Google Analytics tag does not load until you accept analytics. Advertising storage, advertising user data and ad personalization are disabled. HubSpot website tracking is disabled. Rejecting analytics does not prevent you from using the website or submitting its forms.

Cookie settings in the footer lets you accept, reject or withdraw analytics permission. Your choice is remembered in this browser for 90 days, and Google Analytics cookies are configured to expire after 90 days without visit-driven renewal. This cookie lifetime is separate from Google Analytics server-side data retention.

Withdrawing stops future analytics collection and clears Google Analytics cookies in this browser. The page reloads to unload the tag; save any unfinished form text first. Withdrawal does not erase data already collected. You can contact ExactWork about a privacy or deletion request using the details below. Required hosting and form-delivery processing, including reCAPTCHA when you submit a privacy request, continue.

Service providers and retention

Form submissions, email, and related business communications may be processed by Formspree, OpenAI through ChatGPT Sites, Google reCAPTCHA, Google Analytics when permitted, HubSpot for business enquiries and customer records, Google Workspace, and other technology providers ExactWork uses for ordinary business operations. These providers may process information outside Canada. ExactWork does not sell or rent personal information.

Enquiries and correspondence may be retained for as long as reasonably needed to respond, maintain business records, or meet applicable obligations. You may ask ExactWork to review or delete information you submitted, subject to legitimate business and legal retention needs.

Changes to this notice

This notice may be updated if the website changes its analytics, scheduling tools, or other services that change how information is handled. The updated date above will be revised when material changes are made.
